The jobs were already calling. Nobody was answering.

One client, start to finish: what was broken, what we built, and what the numbers did after. The screenshots come from the client's own accounts. We've hidden their name and their customers' details. The numbers are as they are.

The business

A two-person handyman business in Queensland

The owner was on the tools. His partner handled every enquiry that came in, on every channel customers used to reach them. It was our first full system build.

The problem

Work was lost before anyone quoted it

Calls came in while he was up a ladder and went unanswered. Enquiries arrived by SMS, WhatsApp, Instagram and Facebook Messenger with no single place to see them, so some got answered late and some never got answered at all. Nobody could say who had been quoted, who had gone quiet, or which jobs had been won.

It wasn't a marketing problem. The demand was already there. It was leaking on the way in.

The catch

Hiring someone to answer the phone wasn't an option

A two-person business can't carry an admin wage, and the owner's time is the product: every hour on the phone is an hour not billed. Whatever we built had to run without adding a person, and it had to work for someone who wasn't going to learn new software.

What we built

One system to catch every enquiry

  • Missed call → instant text back, with an intake form attached, so an unanswered call turns into a captured enquiry instead of a lost one
  • One keyword that sends the intake form on every channel: SMS, WhatsApp, Instagram and Messenger
  • An AI voice agent for overflow and after-hours calls
  • One inbox for every enquiry, from every channel
  • A pipeline that matches how the work actually flows: New enquiry → Contacted → Quoted → Booked → Paid → Completed → Lost
  • Review and referral requests that send themselves when a job is marked complete
  • The business number routed for tracking, so call volume was visible for the first time
  • A written operations sheet for both of them, so the system had an owner

The website we built them and the Google Ads campaign we run both feed into the same system.

Roughly seven times the monthly revenue in about five months, confirmed by the owner. The system is still in daily use, and the numbers have kept climbing since.

The honest version

The software didn't do all of it

He grew the business and took on more work over the same months, and we're not going to pretend otherwise. Here's what we will say:

He grew the business. The system is what stopped the growth leaking out the front door: every call answered, every quote followed up, nothing lost to a missed phone.
